Job Description

We are partnered with a growing medical company in Amherst, NY is seeking a dependable and welcoming Front Desk Administrative Assistant to join their team on a temporary basis. This role serves as the first point of contact for patients and visitors, handling patient intake, phone inquiries, and day-to-day office coordination in a fast-paced healthcare environment. Responsibilities

Key Responsibilities

  • Patient Reception & Intake: Greet arriving patients, verify demographic and insurance details, and manage the check-in/check-out process.

  • Phone Management: Answer multi-line phones, answer patient inquiries, and route calls or messages to appropriate medical staff.

  • Scheduling: Coordinate patient appointments, follow-ups, and diagnostic procedures using the clinic’s scheduling software.

  • Administrative & Records Support: Maintain electronic health records (EHR), file and scan patient documents, and manage incoming mail/faxes.

  • Office Maintenance: Keep the reception and waiting area tidy, monitor office and clinical supplies, and assist with general administrative tasks as needed.

Required Qualifications

  • 1–3 years of front desk, receptionist, or administrative experience (medical/healthcare setting preferred).

  • Proficiency with computer systems, Microsoft Office, and comfortable learning Electronic Health Records (EHR) systems.

  • strong verbal and written communication skills with a professional telephone manner.

  • High attention to detail and understanding of HIPAA/patient privacy guidelines.
