Are you a sharp, dependable professional with an eye for detail and a drive for precision? We are seeking an Inbound Legal Document Coordinator to join a fast-paced data services team. In this critical role, you will analyze legal documents, navigate strict regulatory standards, and drive the seamless transition from physical paperwork to digital transactions.

While the core tasks can be repetitive, mastery of this role involves learning over 70 distinct processing rules—from identifying W-8 form variations to properly routing share transfers and sales. It takes roughly 6 to 8 months to fully master this position, making it an ideal fit for dedicated individuals who take pride in precision and long-term skill development.

  • Work Schedule: Peak volume days are Mondays and Tuesdays. Dependability during high-volume periods is essential.

  • Transportation: Please note that our site is not accessible via public transit. Candidates must have their own reliable transportation.

Responsibilities

  • Analyze and categorize complex paperwork using specialized industry rules to ensure every file is routed and processed in strict compliance with federal guidelines.

  • Operate advanced processing machinery to ingest, open, and organize heavy volumes of daily correspondence based on priority level and urgency.

  • Manage digital transformations by scanning physical files into workflow databases, ensuring digital archives remain clean, searchable, and fully auditable.

  • Safeguard confidential data through rigorous intake, archiving, and disposal protocols that shield sensitive customer identity details at every stage.

  • Log financial items and securities with complete accuracy, correctly logging service fees, capital investments, and standard stock cancellations.

  • Optimize workflow channels by spotting digital submission patterns and eliminating unnecessary steps in manual document handling.

  • Track incoming package shipments within internal logging systems, building distribution manifests for any items destined for external departments.

  • Inspect outgoing mailings to verify correct assembly, address accuracy, and complete data privacy protection before final dispatch.
